Faxing via Advanced Email Features

How to send faxes via advanced email features available with your Fax Service (if enabled by your administrator).

Microsoft Outlook (through Microsoft Exchange)

When you are using Microsoft Outlook connected to the Microsoft Exchange Server of your company (refer to your administrator to know this), the fax addressing syntax is slightly different from basic faxing via email, though the global behavior is the same:
  • This functionality may depend on configurations performed by the administrator.
  • Simply send an email to [FAX:fax_number].

Fax Form for Microsoft Outlook

A dedicated fax composition form can be made available from your Microsoft Outlook, to benefit from more advanced faxing features that are not available in a regular email composition interface.
  • To be available, this feature requires some configuration to be performed by the administrator (see Fax integration with Microsoft Exchange/Outlook).
  • To use this feature:
    1. Reach and open the form called Composition located in the Organizational Forms Library (Look in dropdown list):
      • For Outlook 2007 (and previous versions), follow Tools > Form > Choose Form
      • Since Outlook 2010, follow Home > New Items > More Items > Choose Form
    2. Send the form to [FAX:fax_number]

Fax Form for IBM Lotus Notes

A dedicated fax composition form can be made available from your IBM Lotus Notes, to benefit from more advanced faxing features that are not available in a regular email composition interface.

Microsoft Office Internet Fax Service

Microsoft Office programs include a built-in functionality allowing you to send faxes via a dedicated form to an Internet fax service provider (thus, your Fax Service).
  • To be available, this feature requires some configuration to be performed by the administrator, and also requires Microsoft Outlook to be installed on your computer (see Configuring the Microsoft Office Internet Fax Service).
  • To use this feature, open a Microsoft Word, Excel or Powerpoint file in its native application and reach the Internet Fax Service form:
    • With MS Office 2007: Office Button > Send > Internet Fax
    • With MS Office 2010: File > Save & Send > Send Using E-mail > Send as Internet Fax
